
Common questions about QuickBooks in Rightworks when you use Lacerte or ProSeries Intuit Hosting

This article provides answers to FAQ (Frequently Asked Questions) about using QuickBooks Desktop in the hosted environment when you have Intuit Hosting for Lacerte or ProSeries.

What should I know about QuickBooks backup files?
Rightworks backs up all files in the hosted environment (for more information about the backups Rightworks keeps see this article).
Due to backups already being made, QuickBooks backup files (QBB) get cleared out by Rightworks on the weekends and Intuit Data Protect is not available in the hosted environment.
When you do bring a QBB file into the hosted environment, be sure to restore it in QuickBooks Desktop so the program saves it as a normal file.
Do I update QuickBooks in the hosted environment?
No. Rightworks will update QuickBooks for you on the weekend (after the update has been tested).
How many years of QuickBooks can I install?
The 3 most recent years are supported. 2022 is currently the furthest back available. Intuit Hosting will mirror what QuickBooks supports, so this could change in the future.
How do I install QuickBooks?
Before QuickBooks can be installed, license information needs to be entered by the Account Owner or an Account Admin & an appropriate package/add-on needs to be assigned.
To install:
- Sign in to the Rightworks AppHub.
- Select My Apps.
- Users with the User (no catalog) role will need the Account Owner or an Account Admin to install apps for them.
- If you are the Account Owner or an Account Admin and you want to install for a user instead:
- Go to Admin Controls ⮕ Users and select the name (or email address) for the user. This will take you to their apps page instead.
- Go to the Cloud Apps tab.
- In the Available Applications section, apps are listed in alphabetical order with numbers first. QuickBooks will be listed starting with the year. Select Install.
- Once an app has been installed, you'll see it in the Installed Applications section.
Adding and assigning a QuickBooks license for use in Rightworks
- Sign in to the Rightworks AppHub.
- Go to Admin Controls ⮕ QuickBooks.
- Choose Add License.
- Enter your license information. If you need help finding this information:
- If you have the year and version of QuickBooks installed outside of the hosted environment that you're wanting to add, open QuickBooks there. From the No Company Open screen you can press F2 (or Fn+F2 if using a laptop) to see your license information.
- License information can also be found through camps.intuit.com.

- Leaving Automatically assign license to users when they install QuickBooks checked is often preferred because it's easier.
- If you uncheck this box, after saving the license, you will need to choose the hyperlinked License Key and select Assign Users to get to where you can manually assign it to users.
- Select Save.
Making sure an appropriate package is assigned
For an Account Owner / Account Admin to see what package is assigned:
- Sign in to the Rightworks AppHub.
- Go to Admin Controls ⮕ Users.
- Check the Assigned Package column for the user. The following packages offered through Intuit Hosting include QuickBooks as an app available to install:
- Intuit Lacerte Tax Advanced
- Intuit Lacerte Tax Premium
- Intuit ProSeries Tax Advanced
- Intuit ProSeries Tax Premium

Why can't I add a 2025 QuickBooks license?
QuickBooks changed their release process from annual updates to more-frequent release updates throughout the year. With this change, you'll continue to use 2024 QuickBooks instead of needing to install a new year's version with new license information.
Helpful tips
- When you're done working in a company file, make a habit of closing it by going to File ⮕ Close Company before you exit the program. This helps prevent file damage.
- Closing out unneeded windows before closing your company file can help speed up how quickly it opens next time. You can also hold down Alt while you open the company to tell QuickBooks to open it with no open windows or menus.
- Holding down Ctrl while you double-click QuickBooks to open it and continuing to hold that key until you see the No Company Open window tells the program to go straight to the No Company Open screen.
- After you have saved your work and closed your programs, double-click the red logoff button to appropriately logoff.
- If you are missing this icon, right-click on the Start/Windows icon, select Shut down or sign out, and choose Sign out.
- QuickBooks treats the last place you opened a QuickBooks company file from as your default location. To keep your I:\ drive neat and organized, we suggest creating a QuickBooks folder and putting any pre-existing QuickBooks files (.QBW, .QBX, .QBA files) inside it. Then when you have QuickBooks open a file from that location, it'll remember that folder as your default.
- You can use Ctrl+Shift+N (keyboard shortcuts work by default in the hosted environment when it's maximized) to create a folder or select the Home tab in File Explorer and use the New Folder button.
- If you accidentally leave the folder called New Folder, you can rename it. Use F2 or select the Home tab in File Explorer and use the Rename button.
